Handling replies

When your sequence emails generate replies, Revian handles them intelligently. Contacts are automatically removed, you get notified, and the conversation moves to your inbox. Here is how reply handling works and what you can configure.

Auto-removal from sequence on reply

The moment someone replies to a sequence email, Revian automatically:

This happens instantly. There is no delay between receiving a reply and stopping the sequence. You never have to worry about an automated email going out after someone has already responded.

Auto-removal on reply is always enabled and cannot be turned off. This protects both your relationships and your sender reputation.

Notifications when contacts reply

Revian notifies you immediately when a sequence contact replies. You can configure where and how you receive these notifications:

  • Slack notification - Message in your designated channel
  • Mobile push - Alert on the Revian mobile app

To configure notifications, go to Settings and then Notifications. You can set different preferences for positive replies, negative replies, and out-of-office responses.

Revian's AI can also classify reply sentiment. Positive replies (interested, want to schedule) can trigger different alerts than negative ones (not interested, wrong person).

Manual removal from sequences

Sometimes you need to remove a contact before they reply. Common reasons include:

To manually remove a contact:

  1. Open the contact record or the sequence
  2. Find the contact in the active enrollments list
  3. Click the three-dot menu and select Remove from Sequence
  4. Optionally add a reason for the removal

You can also bulk remove contacts from the sequence management screen. Select multiple contacts and use the bulk action menu.

Bounce handling

When an email bounces, Revian handles it appropriately based on the bounce type:

  • Hard bounce - Invalid email address. Contact is removed from the sequence and the email is marked invalid.
  • Soft bounce - Temporary issue (mailbox full, server down). Revian retries the send a few times before giving up.
  • Block bounce - Email was rejected by spam filter. Contact is paused while you investigate.

Hard bounces permanently mark the contact's email as invalid. You will need to update their email address before enrolling them in any future sequences.

Revian tracks your bounce rate at the sequence and domain level. High bounce rates can hurt your sender reputation, so keeping your contact data clean matters.

Tip: Enable email verification before enrollment to catch invalid addresses before they bounce. This is especially important for purchased or imported contact lists.

Unsubscribe handling

When a contact clicks the unsubscribe link in your sequence email:

  1. They are immediately removed from the current sequence
  2. They are marked as unsubscribed in your CRM
  3. They are blocked from future sequence enrollment
  4. You receive a notification about the unsubscribe

Unsubscribed contacts cannot be re-enrolled in sequences through normal means. This protects you from compliance issues. If a contact later asks to receive emails again, an admin can manually remove the unsubscribe flag.

Revian automatically includes an unsubscribe link in all sequence emails to comply with anti-spam regulations. You can customize the unsubscribe link text and landing page in your sending settings.
